Frequently asked questions

Fourteen questions that come up before a first call, each with an answer that stands on its own. None of them sends you to another section of the page.

The questions

Does VoxAgenda speak French?

Yes. The agent answers in French then in English: the greeting is bilingual, and the conversation continues in the caller’s language. Written messages (confirmation, reminder) follow the language on the customer file, French by default.

Which language does the customer get the reminder text in?

The language on their file: French or English. When the file says nothing, the message goes out in French, the product’s default language. An English-speaking customer whose file says English therefore gets the reminder in English.

What happens if the customer refuses text messages?

The refusal is recorded with the customer’s answer. If an email address is on file, the reminder goes out by email; otherwise the appointment stands and the office confirms, and the agent says so during the call. VoxAgenda never promises a message that would not go out.

How many messages does a customer get per month?

The frequency announced in the text message terms is this one: You may receive up to 4 messages per month. In practice, one appointment produces a confirmation and then a reminder. Message and data rates may apply. The customer can reply STOP (or ARRET) to receive nothing more, and HELP (or AIDE) for help.

Do my appointments stay in my calendar?

Appointments are written into the business calendar in VoxAgenda, and they stay there: the calendar, the appointment list and the customer file are the same data. No syncing with an external calendar (Google Calendar, Outlook) is offered today: the calendar to look at is the VoxAgenda one.

Can the agent move or cancel an appointment?

Yes. The agent can find an appointment, move it or cancel it during the call, and a freed slot becomes available to another customer. The office can do the same from the dashboard, without going through the agent.

What happens if two customers ask for the same slot?

The second appointment cannot overwrite the first: a slot that is already taken is refused, and the agent re-checks availability to offer other real times. The customer therefore never hears a time that was just taken.

Can the customer speak to a person?

Yes, when they ask. The transfer only goes to destinations the business registered, never to an improvised number. If nobody answers, the call comes back to voicemail instead of being lost.

What happens if the agent does not understand the customer?

The agent can ask them to repeat, offer a callback from the office, or take a message. The recording is kept and transcribed, and the message shows up in the business’s voicemail. The customer is not left without a follow-up.

Who can see the business’s data?

The people the owner created an account for, with the role the owner chose: administration, reception or employee. One business’s data is not visible from another business’s account. When the technical team opens a support record, every write it makes is journaled in the business’s record.

What has to be provided to start?

Five things: opening hours, the services with how long each takes, the people who take appointments, the rooms when they are shared, and the number customers call. Once those are in place, the agent can answer and book.

Are text messages in service today?

Not yet on every number: sending texts depends on the number being registered with the carriers. Until that registration is complete, reminders go out by email, and the agent says so on the phone instead of promising a text that would not go out.

Does the agent quote the price of care or repairs?

No. The price of an exam, a repair or a service belongs to the business, not to the software. The agent gives the information the business entered in its record, and transfers the question to a person when the answer is not there.

Does VoxAgenda replace the receptionist?

VoxAgenda answers the calls the business cannot take, and it books the appointments. The office keeps control: it sees the appointments, the messages and the callback requests, and it can move an appointment itself.
