  • les horaires de la clinique, par jour ;
  • les types de rendez-vous et leur durée ;
  • les professionnels et les types de rendez-vous que chacun assure ;
  • les salles, quand une même personne ne peut pas en utiliser deux à la fois ;

VoxAgenda for clinics

In a clinic, a slot is only open if the person and the room are both free at the same time. VoxAgenda answers without interrupting the consultation, books the right slot and reminds the customer two days ahead.

The phone of a clinic

The phone rings during consultations. The person at the desk is with a patient, and the caller wants to book, move or cancel an appointment — sometimes for a relative. Every interrupted call costs the person in consultation time.

The trade’s constraints

  • A slot is only open if the person and the room are both free: two calendars decide a single availability.
  • Not every appointment lasts the same: a first consultation and a follow-up do not take the same block.
  • A missed appointment is not only lost time: it is a slot a waiting patient would have taken.
  • Questions about results, prescriptions or symptoms are not settled on the phone with an agent: they go to a person.
  • A caller may be calling for a relative: the record and confidentiality are not guessed.

What the agent does during the call

  1. 1

    It answers, in French then in English

    The call is answered without interrupting the consultation in progress.

    What the business sees
    The call enters the clinic record with its state.
    What the customer receives
    The caller gets an answer right away, without calling back.
  2. 2

    It handles the request

    The agent books, moves or cancels an appointment, depending on what the caller asks.

    What the business sees
    A freed slot becomes available in the calendar immediately.
    What the customer receives
    The customer leaves with a confirmed time, or with their appointment moved.
  3. 3

    It respects both resources

    The agent only offers slots where the person and the room are free at the same time.

    What the business sees
    No double-booked room: availability comes from the clinic record.
    What the customer receives
    The customer does not show up at a time the clinic cannot keep.
  4. 4

    It confirms and reminds

    The appointment is confirmed, then reminded two days ahead with a link to confirm.

    What the business sees
    The reminder frees the slot in time for a patient on the waiting list.
    What the customer receives
    The customer confirms in one click, or cancels without calling.

The reminder, and what it changes here

Two days ahead, the reminder gives the customer the exact moment to say they will not come. That window is what makes the slot reusable: a cancellation the night before benefits nobody.

What the agent does not do

  • It gives no result, no clinical opinion and no information about a record.
  • It does not answer prescription questions: it transfers to a person.
  • It does not guess the relationship between the caller and the patient they are talking about.
  • It does not set the price of a consultation: the price belongs to the clinic.

What has to be set up

  • the clinic’s opening hours, by day;
  • the appointment types and how long each takes;
  • the practitioners and the appointment types each one handles;
  • the rooms, when one person cannot use two at once;
  • the number patients call.
